Response 2: The main function of an Enterprise Project Management System (EPM) is to help with managing multiple projects in an organization. It basically contributes to making the process of project management in large organizations, effective and efficient. This is done via a phase gate technique in most organizations. Each phase of the project has its own gate which is mainly where essential project decisions are evaluated. If there are too many gates, then it becomes difficult for the project team to focus on managing the project while being caught in reviewing individual phase gates. Most projects have six major phases: Intake, Initiate, Plan, Execute, Transition and Closure.

The first and foremost is the Intake Phase. During this phase, project proposals are developed and then submitted. Once the project proposal is submitted it is then reviewed by the appropriate authority who then makes the decision to approve, defer or reject the proposals. Efforts and schedules are then developed for the approved proposal. And the last task is to develop a phase gate review for the approved proposals.

The second phase is the Initiation Phase. Now project manager is assigned to the project and business requirements are documented. Various tasks are performed in this phase such as performing stakeholder analysis, conducting initial security review & developing preliminary project charter. The preliminary project charter also needs to be approved. Once that is done, phase gate review needs to be conducted.

The next is the planning stage where first a project team is created. Then a planning kickoff meeting is conducted wherein the project cycle is laid out. Major project plans are built along with supplemental plans. Risk analysis is performed, and a mitigation strategy is developed. Final project plan and charter are approved after careful refining. And lastly, perform a phase gate review.

Then comes the Execute stage. An execution kick-off meeting is set. Start on executing project tasks. AT this stage it is also important to perform project communication management. Manage project procurement and lastly conduct phase gate review.

After the Execution stage is the transition stage. The major tasks under this phase are: developing hard freeze code, execute system test plan, execute user acceptance testing, execute training plan, accept user guide, finalize business continuity and service recovery plans and monitor key performance indicators (KPIs) and many more. Conduct a phase gate review and accept completed project deliverables.

Last is the Closing phase. In this phase closeout activities are conducted. Closeout documents are laid out. Project artifacts should be achieved. Provide transition support to operations staff and disband project team.

In conclusion, it is always better to have six or fewer phases in a project life-cycle to be able to successfully manage and drive the project to completion. The above phases span widely and cover all the essential parts of a project. Adding more phase will lead to duplication of work as well as a waste of time in evaluating the gates.
